What information should procurement send?

Send a separate line for each part. Where the number is unknown, say so and provide available drawings or measurements for identification. A similar shape or a matching photograph is not sufficient evidence that a component will fit or perform correctly.

Describe the machine, symptoms, when the issue occurs and any relevant observations already recorded by the factory. State whether the request concerns preventive maintenance, corrective maintenance, installation or commissioning. Share the production window and location so the team can discuss the scope.
Agree who supplies the parts, who performs the work, what preparation the factory provides and what completion records are expected. Confirm travel and scheduling separately. A local contact is a route to service coordination, not a promise of a fixed response time for every location.
How should quotations be compared?
Check that suppliers quote the same reference and revision, quantity, scope of supply and delivery basis. Distinguish a parts-only quotation from one including diagnosis or installation. Confirm any warranty or return terms in the offer; do not infer them from a product photograph or general company description.
